GS Position Description

GS- Secretary

• Coordinate with other Chapter Officers and Chairs to ensure that all reports and fees are filed on time to Kappa Sigma Fraternity and the University of Arizona. Ask Kappa Sigma and UA for list of fees and report due dates (know them by July).
• Ensure that undergraduate and parent records, chapter officers & chairs, new members, left school, and graduated members are provided to FMG each semester. Records to include: undergraduate name, initiation date or blank if pledge, school address, school email, non-school email, cell phone, major, career plans, dad name, address, email, cell phone, home phone if different, employer, title, mom name, address, email, cell phone, home phone if different, employer, and title (or guardians).
• Maintain an Informational Board that tracks members major, grades, campus involvement, chapter involvement, service, ritual level, meeting with the Career Advisor, and Internships. Coordinate with Career Advisor, Academic & Scholarship Chair, and Career, Engagement, Leadership & Mentor Chair.
• Coordinate with Asst. Secretary to ensure all reporting needs for the new members/pledges is maintained.
• Coordinate with Alumni Relations Chair to ensure we maintain records; send monthly e-news; post to social media weekly to bi-weekly; and email/mail newsletters twice per year; host events; continue our Man of the Year & Hall of Fame; raise funds; and keep alumni engaged in the chapter.
• Coordinate with the Advisory Board & Campus & Fraternity Awards Chair to ensure the chapter submits nominations and wins campus and Kappa Sigma awards. Obtain a copy of requirements by July each year.
• Coordinate with Advisory Board & Calendar Chair to ensure a calendar is maintained and updated weekly, and provided to members weekly.
• Coordinate with the Advisory Board & Campus, Community & Kappa Sigma Relations Chair to ensure successful relations is maintained.
• Coordinate with the Advisory Board & Fall/Spring Alumni & Parent Event Chairs to ensure we host events for alumni and parents each semester.
• Coordinate with the Advisory Board & Newsletter (Alumni & Parent) Chairs to ensure news gets out to parents at least a few times per semester.
• Coordinate with the Advisory Board & Parent Relations Chair to ensure we maintain records; send communications; host events; raise funds; and keep parents engaged in the chapter.
• Ensure that a calendar is maintained and weekly, bi-weekly & monthly news is emailed, posted to social media, and posted to the website.
• Supervise the Asst. Secretary; Alumni Relations Chair; Campus & Fraternity Awards Chair; Calendar Chair; Campus, Community & Kappa Sigma Relations Chair; E-News, Social Media & Website Chair; Fall & Spring Events Chair (Alumni); Fall & Spring Events Chair (Parent); Newsletter Chair: Parent News Chair; and Parent Relations Chair.
• Secretary (GS), Asst. Secretary (AGS), and Asst. Advisor for GS to keep each other updated weekly to bi-weekly. Meeting minutes provided to members and advisors weekly and all alumni invited to one meeting per month via Zoom.
